Privacy policy

Properlex is operated by Miova Limited, a company based in Auckland, New Zealand. This policy explains how Miova Limited, trading as Properlex ("Properlex", "we", "us"), collects, uses and protects personal information through our website, properlex.com. It applies to visitors to the website and to people who contact us through it. We are responsible for that information under the New Zealand Privacy Act 2020 and, where they apply, other privacy laws such as the UK GDPR and EU GDPR.

The Properlex platform at app.properlex.com processes information on behalf of our customers under their agreements with us, and is not covered by this policy.

Information you give us. When you complete the Get started form, we collect your name, work email, company, number of properties, phone number (optional) and your message. If you email us, we receive your email address and whatever you include in the message.

Information collected automatically. With analytics cookies allowed, Google Analytics records how the website is used, including:

• the pages you visit and how you arrived at the website
• your approximate location (country or city), device and browser type
• interactions such as clicks on buttons and links, and whether you sent an enquiry
• anonymous use of the contact admin cost calculator: the size of the estimate, the currency, the number of properties and how often the work happens. The hourly rate or salary you enter is never recorded.

Google Analytics does not store your full IP address. Our website host, Netlify, processes technical information such as your IP address and browser details to deliver the website and keep it secure. Our fonts are served by Google Fonts, so your browser connects to Google to load them, which shares your IP address with Google.

The contact admin cost calculator runs in your browser. We do not store the figures you enter.

• To respond to your enquiry and prepare a plan and quote you asked for.
• To set up and manage our relationship if you become a customer.
• To understand and improve the website, using analytics.
• To keep the website secure and working properly.

If you are in the UK or the European Economic Area, we rely on these legal bases: taking steps at your request before a contract (responding to your enquiry), performing a contract (managing a customer relationship), your consent (analytics cookies) and our legitimate interests in running and securing the website.

We do not sell or rent your personal information, use it for advertising, or make automated decisions about you. We will not send you marketing emails unless you ask for them or agree to receive them.

We use Google Analytics cookies, set through Google Tag Manager, to measure how the website is used:

• _ga - distinguishes one visitor from another. Expires after 2 years.
• _ga_* - keeps track of your current visit. Expires after 2 years.

Where the law requires it, such as in the UK and the European Economic Area, we only set these cookies after you consent. You can change your choice at any time through the cookie settings on the website, and you can also block or delete cookies in your browser settings. We do not use advertising cookies.

We share personal information only with the service providers that help us run the website and our business:

• Netlify - website hosting and the Get started form.
• Google - Google Workspace (email, including the enquiry notifications we receive), Google Analytics and Google Tag Manager (analytics) and Google Fonts (web fonts).

We may also disclose information when the law requires it, to protect our rights, or to a buyer or successor if Properlex's business is sold or merged, in which case this policy continues to apply.

Netlify and Google may process information in the United States and other countries. Where the law requires it, these transfers are protected by safeguards such as the standard contractual clauses in our providers' data processing terms.

• Enquiries: for as long as we need to respond and follow up. If you become a customer, for the length of our relationship. Otherwise, we delete them within 24 months of our last contact with you.
• Analytics data: Google Analytics keeps event data for up to 14 months.

The website is served only over encrypted HTTPS connections, access to enquiries is limited to the people who need it to respond, and we use established providers with strong security practices. Read about our approach to security.

Depending on where you live, including under the New Zealand Privacy Act 2020, the Australian Privacy Act 1988, the UK GDPR and the EU GDPR, you can ask us to:

• give you a copy of the personal information we hold about you
• correct information that is wrong or out of date
• delete your information
• restrict or object to how we use it, or give it to you in a portable format
• withdraw your consent, for example to analytics cookies, at any time

Email hello@properlex.com and we will respond within 20 working days. If you are not satisfied with our response, you can complain to your privacy regulator: the Office of the Privacy Commissioner in New Zealand, the Office of the Australian Information Commissioner, the Information Commissioner's Office in the UK, or the data protection authority where you live in the European Economic Area.

The website is intended for businesses and is not directed at children under 16. We do not knowingly collect their personal information.

The website links to other sites, including our LinkedIn and Facebook pages and the Properlex platform. Those sites have their own privacy practices, which this policy does not cover.

We will update this page if our practices change and revise the date at the top. If a change is significant, we will make it clear on the website.
